Job Description Position Overview: Seeking an experienced Personal Assistant for a family based in the Bronx. Previous experience working as a personal assistant or house manager is required. The successful applicant will represent the family and provide administrative support for their personal lives, along with the coordination of household affairs as related to properties across the United States. This position is full time and will be based out of the main residence in the Bronx, within New York City. There will be regular, annual travel to a residence in Martha's Vinyard for up to two months per year. The work schedule is Monday - Friday, live out, with occasional weekends required with notice.
Candidate Profile: You have the ability to exercise good judgement in a diversity of situations, with strong written and verbal communication in English. You should have excellent organizational and administrative skills, along with the ability to juggle competing priorities. You are a dedicated candidate looking to devote yourself to your next long term role.
Primary Responsibilities: •Create and implement systems for organizing the residences
•Calendar management for the residences and family
•Travel booking and coordination for the family
•Manage and maintain household mechanicals, sound systems, and technology
•Manage and supervise contractual staff on properties and ensure work is completed as expected and on time
•Travel to different properties to manage staff, suppliers, and ensure the enforcement of household standards
•Coordinate and supervise routine maintenance on all properties
•Ensure residences are ready for principals' and guests' arrival
•Help facilitate special events by organizing additional staff and catering as required
•Drive principals to appointments and events
•Assist principals with gift buying
•Manage household inventories
•Manage sensitive matters with a high level of confidentiality and discretion
•Run errands for the principals like dry cleaning or package drop offs, etc.
•Performs additional duties as needed
•Occasional basic cooking and meal preparation an asset
Applicant Qualities: - Bachelor's degree an asset
- Minimum 5 years of related experience required working as an executive assistant, a personal assistant, or house manager
- Tech Savvy and Advanced Proficiency in Microsoft Office (Outlook, Word, Excel)
- Ability to communicate effectively and professionally
- Ability to research solutions effectively
- Must possess excellent time management skills, be punctual, courteous, possess keen attention to detail and follow through on all projects assigned
- Polished and professional presentation
- Must maintain privacy and confidentiality at all times, exercise diplomacy, discretion and respect appropriate boundaries
- Must have valid New York state driver's license with clean driving record
- Must be legally entitled to work in the United States of America
